ATTENDANCE & COMPLIANCE FAQ'S

  • Where can I find a copy of the school calendar with holidays and important dates?
You can download a copy of the school attendance calendar the school website. For all CAVA Schools, visit: https://cava.k12.com/academic-calendar.html
  • How does the online school track my student's daily attendance?
A: When your student logs into the online school using their student username and password, the online school will record the amount of time your student spends in live Class Connect sessions as well as time spent working on assignments in the online school. Time spent “looking around” is not recorded.
  • My student worked on the online school using the Learning Coach account. Why am I still receiving absent notices?
A: If a student toggles to their account through the Learning Coach account, time will not be recorded for the student, as the online school thinks that is it is still the Learning Coach logged in. The student should always log in to the online school using their own student username and password.
  • How do I report the time that my student worked on an educational activity offline for the day (ex- reading, writing, journaling, art project, science experiment, reviewing math facts, researching, or a PE activity)?"
A: Time spent working offline must be accounted for and submitted through the Attendance Survey at https://tinyurl.com/missingattendancesurvey. **Offline Work Log Video
  • There was no Class Connect scheduled, so why am I getting an absence notice?"
A: Class Connects are only part of the school day. If there is not a Class Connect on your student’s schedule, then your student should continue to work on the assignments posted by their teacher for that day. If there are not any assignments posted, reach out to your teacher for offline work suggestions, or complete an educational activity on your own. Report all activities completed offline through the Attendance Survey at https://tinyurl.com/missingattendancesurvey.
  • My student worked ahead, and they do not have anything left to complete. Do we still need to attend each school day during the week?"
A: All students are required to attend and complete work each school day, according to the school calendar, and our enrollment requirements. Any missed day of school will be counted as an absence. We encourage students to work according to their teacher's plan for them in the online school to avoid absences.
  • My student was sick/ had an appointment and missed school. What do I do?
A: If your student misses school because of illness or a doctor's appointment, please contact your student's teacher as soon as possible to let him/ her know. In most circumstances, a student can still do something educational such as read a favorite book. They also have the option of logging in later in the day to complete work when they are feeling better or return home. The online school is open 24 hours a day to allow for flexible scheduling when needed. If your student completes an educational activity offline, you’ll need to document it by filling out the Attendance Survey at https://tinyurl.com/missingattendancesurvey.
  • Our family has a religious observance coming up and my student will miss school. What should I do?
A: Please notify your teacher in writing ahead of time if your student plans to miss school for a religious holiday. Just as you would with any absence, please also be sure to fill out the Attendance Survey at https://tinyurl.com/missingattendancesurvey.
  • We had a family emergency or a death in the family, and my student missed school. What should we do?"
A: Our hearts are always saddened by the news of a family tragedy, and we offer our sympathy and support. As soon as you are able, please let your teacher know the dates you will be away from school. Just as you would with any absence, please also be sure to fill out the Attendance Survey at https://tinyurl.com/missingattendancesurvey. *Please keep in mind in the event of the death of a family member, you are given one day excused for an immediate family member and up to three days excused if the services for that family member are out of state.
  • Our family is going on vacation. Will my student be marked absent?
A: All students are expected to follow the official school attendance calendar. When a student does not log into the online school to complete work and does not submit an offline work log through the Attendance Survey, they will be considered absent. Please let your teacher know in advance if your student plans to be away from the online school. Your teacher can work with you to create a travel plan so your student can complete educational activities while you are away and help to create a plan for your student to stay on track. Just as you would with any offline workday, please also be sure to fill out the Attendance Survey at https://tinyurl.com/missingattendancesurvey.
  • Why am I receiving notifications my student isn’t in school when I see them working?
These notifications are meant to be a tool to help learning coaches/parents know when their student has not logged into a live session and not logged into at least one of their course (where they work independently on lessons/quizzes/assignments) by 12pm. If your student is going into live sessions but not accessing a course, or vice versa, it will trigger this reminder. In order to not receive these messages going forward, please ask your student to login to a course before going into his/her live sessions for the day. If your student is positive he/she is doing both things before 12 and you still receive these notifications, it is possible that he/she is using a bookmarked link to our online school which would not show as attendance to his courses.
  • Our internet was down/ power is out/ computer isn’t working, what do I do now?"
A: When these issues arise, always contact your student’s teacher first to let him/ her know about the situation and get offline work suggestions. There is almost always something educational a student can do offline such as reading, writing, journaling, art project, science experiment, reviewing math facts, researching, or PE activity (assignments originally posted for the day will still need to be made up and turned in to your teacher). Other options are going to a friend’s or family member’s house, using a local Wi-Fi hot spot, or going to the library to access Wi-Fi or a computer. These are not excused absences. Contact K12 Customer Support at 1-866-512-2273 or https://www.help.k12.com for OLS or hardware issues. If your student works offline, please also be sure to fill out the Attendance Survey at https://tinyurl.com/missingattendancesurvey.
  • We communicated with my student’s teacher about an absence, but we still received a notification about the missing date. Why are we getting these messages?"
A: Our system automatically requests an Attendance Survey when a student is absent so that the absence can be documented. In most cases, a student can do an educational activity offline to avoid being marked absent such as reading, writing, journaling, art project, science experiment, reviewing math facts, researching, or PE activity (note that assignments originally posted for the day will still need to be made up and turned in to your teacher).
  • Who can I contact if I have more questions?
Your student’s General Education or Homeroom Teacher knows you and your student best. He/she should be your first contact. For attendance-related questions, you may also contact your student’s Attendance Advocate. CAVA-Fresno, Kings, and LA: Larissa Nelson, lnelson@caliva.org CAVA-Maricopa, SD: MJ De Paz Lopez, mdepazlopez@caliva.org CAVA-SJ, SM, Sonoma, Sutter: Sidney Buckley, sbuckley@caliva.org
  • I have withdrawn my student from CAVA. Why am I still receiving attendance messages?
We apologize that you’ve received a notification. It can take several days for the withdrawal to process all the way through the system. If you have received confirmation from your student’s teacher that the withdrawal is being processed, please rest assured that your student’s effective withdrawal date will be the one you requested. If you should need transcripts or documentation from to help with the transfer, please email your request to recordsdepartment@caliva.org. We wish you and your student all the best!
